1. General Provisions
Green Agro Solutions Public Union, hereinafter referred to as “GreenAS” or “the Organisation”, respects the privacy of individuals and is committed to protecting personal data obtained through the use of the greenas.org website, participation in events, training programmes, surveys, advisory activities and other activities of the Organisation.
This Policy explains what personal data GreenAS may collect, for what purposes such data may be used, to whom it may be disclosed, how long it may be retained, and what rights individuals have in relation to the processing of their personal data.
Personal data are processed in accordance with the applicable legislation of Ukraine, including the Law of Ukraine “On Personal Data Protection”, and, where applicable, taking into account the requirements of the European Union General Data Protection Regulation (GDPR).

3. Personal Data We May Process
GreenAS may receive personal data directly from individuals when they complete forms, register for events, participate in surveys, request advisory or consulting support, communicate with us by email, or otherwise interact with the Organisation.
Depending on the specific purpose, such data may include:
- first and last name;
- name of an organisation, company or farm;
- position or professional role;
- telephone number;
- email address;
- region or locality;
- information about the activities of an agricultural enterprise or farm;
- crops grown, agricultural area and production characteristics;
- professional or advisory needs;
- other information voluntarily provided to GreenAS.
The website may also automatically process limited technical information necessary for its proper functioning and security, including IP address, browser type, device type, date and time of access, and server log information.
GreenAS does not seek to collect sensitive personal data unless such information is necessary for a specific legitimate purpose and an appropriate legal basis for its processing exists.
4. Purposes of Personal Data Processing
GreenAS may process personal data for the following purposes:
- organisation and delivery of educational, informational and advisory activities;
- registration of participants for webinars, seminars, workshops, field days and other events;
- conducting surveys and research on the needs of farmers, agricultural enterprises and other stakeholders;
- provision of agricultural advisory and consulting services;
- communication with farmers, experts, consultants, partners and other stakeholders;
- implementation, monitoring and reporting of national and international projects and programmes;
- preparation of aggregated statistical, analytical and research materials;
- distribution of information about relevant events, programmes, projects and opportunities where an appropriate legal basis exists;
- ensuring the proper operation, administration and security of the website;
- fulfilment of legal, contractual and reporting obligations of GreenAS.
5. Legal Bases for Processing
Depending on the specific circumstances, GreenAS may process personal data on the basis of:
- the consent of the data subject;
- the necessity to perform a contract or to take steps prior to entering into a contract;
- compliance with obligations established by applicable law;
- the legitimate interests of GreenAS, provided that such interests are not overridden by the rights and interests of the individual.
Where processing is based on consent, the individual may withdraw that consent at any time.
Withdrawal of consent does not affect the lawfulness of processing carried out before the consent was withdrawn.
6. Google Forms and Other Third-Party Services
GreenAS may use third-party services, including Google Forms and other Google services, for registration for events, surveys, questionnaires and collection of information.
Where such services are used, certain personal data may technically be processed or stored using the infrastructure of the respective service provider in accordance with its own terms and data protection policies.
GreenAS uses such services for purposes related to the activities of the Organisation and seeks to limit the information collected to what is reasonably necessary for the relevant purpose.
7. Disclosure of Personal Data to Third Parties
GreenAS does not sell personal data and does not provide personal data to third parties for their independent advertising or marketing purposes.
Access to personal data may be provided, where necessary, to:
- employees and authorised representatives of GreenAS;
- consultants and experts engaged by the Organisation;
- contractors and service providers;
- project and programme partners;
- providers of IT, communication, hosting and other technical services.
Such access is limited to the information reasonably necessary for the performance of the relevant tasks and must have an appropriate legal basis.
When implementing joint projects or programmes, certain information may be shared with project partners, donors, funding organisations or other organisations involved in project implementation where this is required by the applicable project conditions, contractual obligations, law or the consent of the individual concerned.
Aggregated statistical or analytical information may be shared with partners or published provided that it does not enable the identification of a specific individual, unless such disclosure has been separately agreed.
8. International Data Transfers
Due to the use of international information technology services and GreenAS participation in international projects and programmes, personal data may, in certain circumstances, be processed or stored outside Ukraine.
Where applicable, GreenAS takes reasonable measures to ensure an appropriate level of personal data protection in accordance with applicable legislation.
9. Data Retention
Personal data are retained only for as long as reasonably necessary to fulfil the purposes for which they were collected, or for the period required by applicable legislation, contractual obligations or the conditions of a relevant project or programme.
When personal data are no longer required for the relevant purpose, they may be deleted, destroyed or anonymised unless further retention is required by law or another legitimate obligation.
10. Information and Email Communications
GreenAS may send information about educational activities, webinars, field days, programmes, projects, publications and other professional opportunities to individuals who have consented to receive such communications or where another appropriate legal basis exists.
Recipients may opt out of such communications at any time by using the available unsubscribe mechanism or by contacting GreenAS by email.
Withdrawal from information or promotional communications does not affect communications that are necessary for the administration of an event, project, contract or other existing relationship with GreenAS.
11. Cookies and Technical Information
The GreenAS website may use technically necessary cookies and similar technologies required for the correct, secure and efficient operation of the website.
Where GreenAS uses analytical, functional, advertising or other non-essential cookies for which user consent is required under applicable law, such technologies will be used in accordance with the preferences selected by the user.
Information about particular categories of cookies and available choices may be provided through an appropriate cookie management tool on the website.
12. Rights of Data Subjects
Individuals whose personal data are processed by GreenAS have the rights provided for by applicable legislation, including, where relevant, the right to:
- obtain information about the processing of their personal data;
- obtain access to their personal data;
- request the correction of inaccurate or incomplete personal data;
- object to or request restriction of processing where provided by law;
- request deletion of personal data where the applicable legal requirements are met;
- withdraw consent where processing is based on consent;
- lodge a complaint with the Ukrainian Parliament Commissioner for Human Rights or seek judicial protection.
Where the GDPR applies to a particular processing activity, individuals also have the relevant rights provided for under the GDPR, including, where applicable, the rights to restriction of processing, data portability and objection to processing.
13. Personal Data Security
GreenAS applies reasonable organisational and technical measures designed to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access.
Access to personal data is limited to persons who require such access to perform their professional or contractual responsibilities.
14. Links to External Websites and Services
The GreenAS website may contain links to external websites and third-party services, including websites of partner organisations, social media platforms, video platforms and online forms.
GreenAS does not control the privacy practices of independent third-party websites and services.
When users follow a link to an external resource, they are encouraged to review the relevant privacy policy and terms of that service.
15. Changes to This Policy
GreenAS may update this Policy from time to time due to changes in legislation, technologies, services used by the Organisation, or its activities and projects.
The current version of this Policy will be published on greenas.org, indicating the date of the most recent update.
